Terms of Service
These Terms of Service (“Terms”) are a legal agreement between you (“you”, “your”) and JD Technology Services Pty Ltd (ABN 32 682 813 305), a company incorporated in Victoria, Australia (“we”, “us”, “our”), which operates the AskLore platform accessible at asklore.com.au and getlore.com.au (“the Service”).
By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. The Service
AskLore is an AI-powered business knowledge platform. It allows businesses to:
- Build a searchable knowledge base from documents and procedures (PDF, Word, PowerPoint, Excel, and plain text files)
- Add video and audio recordings — via uploaded files (.mp4, .mov, .mp3, .m4a) or external links (YouTube, Loom, Vimeo, and similar platforms) — which Lore transcribes and processes into indexed knowledge
- Sync documents automatically from connected cloud storage services (OneDrive, Google Drive, and SharePoint — available on qualifying plans)
- Deploy AI-powered chat bots accessible to staff via QR code at chat.asklore.com.au/[bot-slug], with configurable PIN access and per-bot knowledge scoping
- Monitor knowledge gaps — questions staff ask that Lore could not confidently answer — and resolve them with quick answers, AI-generated SOPs, or file uploads
- Generate and refine standard operating procedures (SOPs) using AI
- View analytics about staff usage patterns, answer quality, and knowledge base effectiveness (advanced analytics available on Business and Enterprise plans)
- Organise knowledge sources into folders and scope individual bots to specific folders
- Invite team members (admin accounts) to co-manage your knowledge base
- Manage multiple workspaces under one login for separate business entities
AskLore is a general business tool. It is not a medical advice system, legal advice system, financial advice system, or clinical decision support tool. Answers generated by Lore are based solely on the content in your knowledge base. We make no warranty that answers will be accurate, complete, or suitable for any specific purpose. You are responsible for the content in your knowledge base and for how your staff use and rely on Lore's answers.
2. Accounts and Workspaces
2.1 Creating an account
To use the Service you must create an account using a valid email address and authenticate via Google Sign-In, Microsoft Sign-In, or an email magic link. No password is stored or required. You must provide accurate information — including your business name, industry, location, team size, phone number (required), and ABN (optional) — and keep it current.
2.2 Workspace model
Your account (login identity) may be associated with more than one workspace (organisation). Each workspace represents a single business entity and has its own subscription, knowledge base, bots, and team members. You may create additional workspaces from your account dashboard. Each workspace is intended for one business; you may not use a single workspace to serve multiple unrelated businesses.
2.3 Your responsibility
You are responsible for all activity that occurs under your account and any workspace you own or administer. If you believe your account has been compromised, contact us immediately at support@asklore.com.au.
2.4 Team members (admin accounts)
You may invite additional team members to access your workspace's owner portal. Team member limits (total admin accounts including the owner) per plan are:
- Starter: 1 (owner only — no invitations)
- Growth: 3 total (owner + 2)
- Business: 10 total (owner + 9)
- Enterprise: 25 total (owner + 24)
You are responsible for ensuring your team members comply with these Terms.
3. Free Trial
New accounts are eligible for a 14-day free trial. A valid payment method is required at signup. Your card will not be charged during the trial period.
At the end of the 14-day trial period, your subscription automatically converts to a paid subscription at the plan rate you selected. You will receive an email reminder before your trial ends.
The free trial is a one-time offer per user, not per workspace. It is not available to:
- Accounts that have previously held a paid subscription on any workspace
- Accounts resubscribing after cancellation
- Accounts receiving a complimentary plan
If you cancel your subscription before the trial ends, your subscription will not convert and you will not be charged.
4. Subscriptions, Billing and Payment
4.1 Plans
AskLore offers four subscription plans. Features — including question limits, document and recording limits, bot limits, admin account limits, and cloud sync integrations — are described on the pricing page at getlore.com.au/pricing and in your account billing settings. Current monthly prices (exclusive of GST):
- Starter: $39/month
- Growth: $99/month
- Business: $349/month
- Enterprise: $699/month
We may update pricing or plan features with 30 days' notice to existing subscribers by email before any change takes effect.
4.2 Billing
Subscriptions are billed monthly. All prices are in Australian dollars and are exclusive of GST. GST (currently 10%) is added to all invoices for Australian customers. Tax invoices are issued by Stripe on our behalf after each successful payment. Your ABN (if provided at onboarding) will be included on your Stripe customer record and may appear on your tax invoices.
Payments are processed by Stripe, Inc. Your payment card details are stored by Stripe; we do not store card numbers on our systems. By providing a payment method, you authorise us to charge that method for your subscription and any applicable overages on a recurring basis.
4.3 Question limits and overages
Each plan includes a monthly question limit — the number of questions staff can ask Lore per calendar month. If your staff exceed this limit:
- Lore continues to answer questions — your bot does not go offline
- Overage questions are charged at the per-question rate for your plan (Starter: $0.15/question; Growth: $0.10/question; Business: $0.06/question; Enterprise: $0.05/question)
- Overage charges are invoiced automatically at the end of your billing period via a Stripe invoice
- You will receive an email alert at 80% and again at 100% of your plan limit so you are never surprised
4.4 Payment failure
If a payment fails, we will notify you by email and Stripe will automatically retry the charge. If payment remains outstanding after a reasonable period, your bot will be taken offline until payment is resolved. Your data is retained during this period. You can update your payment method at any time via your billing settings.
4.5 Plan changes
You may upgrade or downgrade your plan at any time from your billing settings. Plan changes take effect immediately with prorated adjustments applied to your next invoice.
5. Cancellation and Data Retention
5.1 How cancellation works
You may cancel your subscription at any time from your account billing settings. When you cancel:
- Your cancellation is scheduled to take effect at the end of your current billing period — it does not take effect immediately
- Your bot and owner portal remain fully operational until the billing period ends
- You will receive a confirmation email when cancellation is scheduled
- You may undo a scheduled cancellation at any time before the billing period ends by clicking “Reactivate” in your billing settings
After your billing period ends and the cancellation takes effect:
- Your bot goes offline — staff can no longer access the chat interface
- You retain access to your owner portal (dashboard, knowledge base, settings) during the 90-day data retention period
5.2 Data retention
Your data — knowledge base content, chat history, bot configuration, and account information — is retained securely for 90 days from the cancellation date. During this period you may export your content or reactivate at any time. You will receive email warnings before permanent deletion. After 90 days, all of your data is permanently and irreversibly deleted from our systems and those of our hosting providers.
5.3 Reactivation
You may reactivate your subscription at any time within the 90-day window. Your bot will come back online and your data will be exactly as you left it. Resubscribing after the 90-day window or after permanent deletion requires a new account; prior data cannot be recovered.
5.4 No prorated refunds
We do not provide refunds for partial billing periods. If you cancel mid-period, your subscription and bot access continue until the end of the current billing period; we do not offer prorated refunds for the unused portion.
6. Your Content
6.1 Ownership
You retain all ownership rights to the content you upload, create, or generate within the Service, including documents, procedures, SOPs, and recordings (“Your Content”). We do not claim any ownership or intellectual property rights over Your Content.
6.2 Licence to us
By uploading or creating content in AskLore, you grant us a limited, non-exclusive, worldwide licence to process, store, transmit, display, and index Your Content solely to the extent necessary to provide and operate the Service for you. This licence ends when you delete the content or when your account data is permanently deleted.
6.3 Cloud integration content
If you connect a cloud storage service (OneDrive, Google Drive, or SharePoint), you authorise us to access, retrieve, and process files from the folders you select (“Cloud Integration Content”). Cloud Integration Content is subject to the same licence grant in clause 6.2. You are responsible for ensuring you have the authority to connect the relevant service and to authorise this access on behalf of your organisation.
Cloud Integration Content files are processed in-memory for extraction and indexing and are not independently stored in our systems. Only the extracted text chunks and vector embeddings are retained in your knowledge base.
6.4 Recording content
If you upload video or audio files, or add video links, you authorise us to extract audio (and, for video content, visual frames) from those files or URLs for the purpose of transcription and knowledge extraction. Transcripts generated from your recordings are stored in your knowledge base. You are responsible for ensuring you have the right to upload and process any recording content you add to AskLore.
6.5 Your responsibility for content
You represent and warrant that:
- You own or have the right to use all content you upload to AskLore
- Your Content does not infringe any third party's intellectual property rights
- Your Content does not contain anything that violates these Terms or applicable law
- You have obtained any necessary consents to upload personal information about individuals (such as staff names, roles, or client-facing procedures) contained in documents or recordings
- If you connect a cloud storage service, you have the authority to grant AskLore access to the selected content
7. AI Processing
Key fact: Your content and staff questions are sent to Anthropic and OpenAI to generate answers, embeddings, and transcriptions. Neither provider trains their AI models on your content.
7.1 AI providers used
The Service is powered by AI from two providers:
Anthropic, PBC (Claude AI models) is used to:
- Generate answers to your staff's questions
- Extract and describe content from PDF documents, including inline images
- Describe visual frames extracted from video recordings
- Generate and refine SOPs
- Identify and analyse knowledge gaps
- Rewrite follow-up questions to self-contained form for gap enrichment
OpenAI, LLC is used to:
- Generate vector embeddings of your knowledge base content to enable semantic search (model: text-embedding-3-large)
- Transcribe audio extracted from your uploaded video/audio files and linked video URLs (model: Whisper)
7.2 No model training
Neither Anthropic nor OpenAI trains their AI models on content processed via their APIs.Anthropic's commercial terms explicitly prohibit training on customer content. OpenAI's API policy excludes customer data from model training by default. Your content is processed solely to deliver the Service and is not used to improve AI models for other customers.
7.3 Data processing in the United States
Anthropic and OpenAI operate in the United States. By using the Service, you acknowledge that Your Content and your staff's questions will be transmitted to and processed in the United States for the purpose of generating AI responses and embeddings.
7.4 Sensitive content
Do not upload content that contains personal health information, financial account credentials, government-issued identification numbers, or passwords. AskLore is not designed or certified for the storage or processing of sensitive personal information as defined under the Privacy Act 1988 (Cth) or the Health Records Act 2001 (Vic). If you operate in a regulated industry — including healthcare, aged care, disability services, childcare, or financial services — you are responsible for ensuring your use of AskLore complies with the specific data handling obligations that apply to your sector.
7.5 Accuracy
AI-generated answers may occasionally be inaccurate, incomplete, or misleading. You are responsible for reviewing the accuracy of your knowledge base content and for ensuring your staff understand that Lore's answers are informational and should be verified before being relied upon for critical operational decisions.
8. Cloud Integrations
8.1 Available integrations
The following cloud storage integrations are available on the plans indicated:
- Microsoft OneDrive (personal or work account): Business and Enterprise plans
- Microsoft SharePoint: Enterprise plan only
- Google Drive: Enterprise plan only
8.2 How integrations work
When you connect a cloud integration, you select the specific folders or libraries you want to sync. AskLore periodically retrieves files from those selected folders and processes new and updated files into your knowledge base. Files are processed in-memory and are not independently stored in our systems — only extracted text chunks and vector embeddings are retained.
8.3 SharePoint — Application permissions
SharePoint integration uses Microsoft Application permissions, which require a one-time consent from your organisation's Microsoft 365 Global Administrator. This consent grants AskLore read access to all SharePoint sites and files within your Microsoft 365 tenant (permission scopes: Sites.Read.All and Files.Read.All). AskLore only retrieves files from the specific folders you select in the integration settings; we do not access or process any other content in your tenant. You are responsible for ensuring the person granting admin consent is authorised to do so on behalf of your organisation.
8.4 Token security
OAuth access tokens for all cloud integrations are encrypted using AES-256-CBC before being stored in our database and are used solely to access the services you have authorised.
8.5 Disconnecting
You may disconnect a cloud integration at any time from your knowledge page. When you disconnect, your stored OAuth token is immediately deleted. Existing text chunks and embeddings already indexed from that integration remain in your knowledge base until you choose to delete them manually.
9. Staff Chat Users
AskLore provides a staff-facing chat interface at chat.asklore.com.au/[bot-slug], accessible via QR code. Staff members access this interface without AskLore accounts.
Your obligations to your staff: As the account owner deploying Lore to your employees, you are responsible for:
- Making your staff aware that their chat interactions — questions asked, answers received, and any feedback submitted — are recorded and visible to account owners and administrators in your workspace
- Complying with any applicable workplace laws, enterprise agreements, or privacy obligations (including the Privacy Act 1988) that govern monitoring of staff communications at your organisation
- Configuring appropriate access controls — including PINs and knowledge scoping — for your staff
Staff may optionally provide their name at the start of a session. If provided, the name is stored with the session data and is visible to account owners and administrators in your workspace.
10. Acceptable Use
You agree not to use AskLore to:
- Upload, store, or distribute content that is unlawful, defamatory, obscene, or that infringes any third party's rights
- Store or process personal health information, clinical records, financial account details, or other sensitive personal information in a manner that violates applicable privacy law
- Abuse any cloud integration connection by attempting to access, retrieve, or index content beyond the folders you have explicitly selected
- Attempt to circumvent, disable, or interfere with any security feature of the Service, including bot PIN controls
- Reverse engineer, decompile, or attempt to extract the source code of the Service
- Resell, sublicense, or provide access to the Service to third parties as a service offering in your own right, without our prior written consent
- Scrape, crawl, or systematically extract data from the Service by automated means
- Use the Service in any way that could damage, overburden, or impair our infrastructure
- Use the Service for any purpose that is unlawful or that we reasonably determine to be harmful to us, other users, your staff, or third parties
11. Intellectual Property
The AskLore platform — including its software, design, brand, icons, and all content we create — is owned by JD Technology Services Pty Ltd and is protected by copyright and other intellectual property laws. Nothing in these Terms transfers any of our intellectual property rights to you.
“AskLore” and “Lore” as used in the context of the Service are trading names of JD Technology Services Pty Ltd. You may not use these names in any way that implies endorsement or affiliation without our written consent.
12. Privacy
Our Privacy Policy, available at getlore.com.au/privacy, explains how we collect, use, disclose, and protect personal information in connection with the Service. By using the Service, you agree to our Privacy Policy.
13. Service Availability
We aim to provide a reliable service but we do not guarantee any specific level of uptime, availability, or performance. The Service is provided on an “as is” and “as available” basis.
We may perform scheduled maintenance that temporarily affects availability. We will endeavour to schedule maintenance outside peak business hours and to provide advance notice where practicable. Third-party service outages (including Anthropic, OpenAI, Stripe, or cloud storage providers) are outside our control and may temporarily affect Service functionality.
14. Limitation of Liability
14.1 Liability cap
To the maximum extent permitted by law, our total aggregate liability to you for any claim arising under or in connection with these Terms or the Service — whether in contract, tort (including negligence), statute, or otherwise — is limited to the fees you paid to us in the 12 months preceding the event giving rise to the claim.
14.2 Exclusions
To the maximum extent permitted by law, we exclude liability for:
- Loss of profits, revenue, or business
- Loss of data or cost of data recovery
- Indirect, consequential, or special loss or damage of any kind
- Any loss arising from inaccurate or incomplete answers generated by Lore
- Any loss arising from your reliance on AI-generated content
- Any loss arising from a third-party cloud integration service (Microsoft, Google) being unavailable, revoking access, or changing its API
14.3 Australian Consumer Law
Nothing in these Terms excludes, restricts, or modifies any right or guarantee that cannot be excluded under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)), including non-excludable statutory guarantees that may apply to the supply of services to consumers and small businesses. To the extent our liability for a breach of such a guarantee can be limited, our liability is limited at our option to re-supplying the service or paying the cost of having the service re-supplied.
15. Indemnification
You agree to indemnify and hold harmless JD Technology Services Pty Ltd, its directors, employees, and contractors from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with:
- Your use of the Service in violation of these Terms
- Your Content, including any claim that it infringes a third party's rights
- Your connection of a cloud integration service without proper authority
- Your failure to provide appropriate notice or disclosure to your staff
- Any misrepresentation you make to us
16. Suspension and Termination
16.1 By you
You may terminate your account at any time by cancelling your subscription in your account billing settings. The data retention terms in Section 5 apply.
16.2 Suspension by us
We may immediately suspend your access to the Service (without terminating your account) if we have reasonable grounds to believe your account is being used in violation of these Terms, poses a security risk, or if we are required to do so by law. We will notify you of a suspension and give you a reasonable opportunity to respond unless doing so would increase risk or is prohibited by law.
16.3 Termination by us for cause
We may terminate your account immediately if:
- You materially breach these Terms and (where the breach is capable of remedy) fail to remedy it within 7 days of notice from us
- We determine (acting reasonably) that your use of the Service poses a security risk or causes harm to us, other users, your staff, or third parties
- You fail to pay any amount owed to us and payment remains outstanding after 7 days of our notice
- We are required to do so by law or a government authority
If we terminate for cause, no refund is payable.
16.4 Termination by us without cause
If we terminate your account other than for cause, we will provide at least 30 days' notice and refund any prepaid subscription fees for the period following termination.
17. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email at least 30 days before they take effect. If you continue to use the Service after the effective date of the updated Terms, you accept the updated Terms. If you do not agree, you may cancel your account before the changes take effect.
18. Governing Law and Disputes
These Terms are governed by the laws of Victoria, Australia, without regard to conflict of law principles. You submit to the exclusive jurisdiction of the courts of Victoria, Australia for any dispute arising under these Terms.
Before initiating formal proceedings, we encourage you to contact us at support@asklore.com.au so we can attempt to resolve the matter informally.
19. General
- Entire agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and us regarding the Service and supersede all prior agreements and representations.
- Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions continue in full force.
- Waiver: Our failure to enforce any provision of these Terms does not constitute a waiver of our right to enforce it in the future.
- Assignment: You may not assign your rights or obligations under these Terms without our written consent. We may assign our rights as part of a corporate restructure, merger, or sale of assets.
- No partnership: Nothing in these Terms creates a partnership, joint venture, agency, or employment relationship between you and us.
- Force majeure: We are not liable for any failure or delay in performance due to circumstances beyond our reasonable control, including telecommunications failures, power outages, third-party service outages (including AI provider or cloud storage provider outages), or acts of government.
